Quarter AU Pty Ltd (we, us, our; ABN 29 702 639 709) provides Quarter in Australia. This policy explains how we handle personal information, in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). Quarter is built and run for us by Quarter NZ Limited, a New Zealand company, which is also bound by New Zealand’s Privacy Act 2020.
Personal information is information or an opinion about you from which you can be identified. This policy covers our Australian website and the Australian strata schemes that use Quarter: their owners, residents and committee members, their strata managers, people who look up a building on our website, and anyone who writes to us.
For your owners corporation. Most of the personal information in Quarter is part of an owners corporation’s records. Depending on the state, it may be called a body corporate, strata company or strata corporation. The owners corporation uses Quarter to keep its roll, raise levies, hold meetings, send notices and keep its records, and we hold that information on its behalf. Its committee or strata manager decides what is recorded and who in the scheme can see it. Strata law gives the owners corporation its own duties to keep those records, and gives owners rights to inspect them.
So your owners corporation may have added you to Quarter from its roll before you’d heard of us.
For ourselves. We hold the rest for our own purposes: your sign-in, what you tell us when you contact us, how people use our website, and what we need to bill the owners corporations that pay for Quarter.
Depending on how you’re involved, we may hold:
We don’t ask for sensitive information, such as health information, racial or ethnic origin, or religious or political views. It can still reach us in what people write: an incident report may describe an injury, for example. We hold it only as part of the scheme’s records.
We collect personal information:
We use personal information to:
We only use it for anything else if you agree, or if the law requires or allows it.
Quarter’s manager is an AI assistant built on Anthropic’s Claude. It reads the messages people send the scheme and the documents the scheme keeps, looks up the scheme’s records, and drafts replies, notices, summaries, and minutes from meeting transcripts. It can reply to routine questions on the scheme’s behalf. For the committee, it can also update the scheme’s records, such as adding a new owner from a transfer document. It follows the same permissions as the person it’s helping, so an owner can’t use it to get a neighbour’s contact details.
We don’t use your information to train AI models, and the commercial terms we use Anthropic under don’t let it train on your information either.
Some things happen automatically. Levies are worked out from the budget and unit entitlements the owners corporation has adopted, and notices and reminders go out on the schedule it sets. Where a scheme has no committee yet, a claim to own a lot is accepted straight away so the owner can get started. Where it has one, the committee decides.
An owners corporation can connect its bank accounts to Quarter through open banking, so that its transactions arrive on their own and are matched to levies and bills. The connection is made through Basiq Pty Ltd, an accredited data recipient under the Consumer Data Right (accreditation ADRBNK000208) and part of Cuscal Limited. The owners corporation gives its consent on Basiq’s consent screen, as a business, and a committee member its bank has nominated for data sharing confirms it at the bank. Nobody at Quarter or Basiq sees the scheme’s bank login.
What the bank shares is the names, numbers and balances of the accounts the owners corporation chooses, and their transactions, which can name the people who paid into them and the people and businesses the scheme paid. Basiq collects it under the Consumer Data Right and passes it to us with the owners corporation’s consent. We are not an accredited data recipient, so once it reaches us it is handled under this policy and the Privacy Act, not under the Consumer Data Right’s own privacy safeguards. We give Basiq the owners corporation’s name and ABN, and the email address of the committee member who connects, so that Basiq can keep the consent against the right business.
We use what the bank shares only to keep the scheme’s ledger, match levy payments and bills, and prepare its financial statements and reports. We don’t use it to assess anyone’s creditworthiness, and we don’t sell it or pass it to anyone else.
The consent lasts up to twelve months and can be renewed, changed or withdrawn at any time, from the bank accounts page in Quarter, from Basiq’s consent management page, or at the bank. When it is withdrawn or expires, Basiq deletes or de-identifies what it holds, and no more transactions reach us. The transactions already recorded in the scheme’s ledger stay, as part of its records. Basiq’s own handling of the data is set out in Basiq’s CDR policy.
We never sell personal information. We share it only:
Quarter is run from New Zealand and hosted in the United States. So personal information we collect in Australia is held and processed outside Australia, mostly in the United States and New Zealand. Our team works in Australia and New Zealand.
These are the companies that receive personal information, and where they are:
Each provider handles personal information under its own terms, which limit what it may do with it, and we choose providers that hold recognised security certifications, such as SOC 2 or ISO 27001.
Cookies are small files your browser keeps for a website. We use them to keep you signed in, remember your choices, and remember how you found us. We also use:
You can block or delete cookies in your browser’s settings, but Quarter can’t keep you signed in without them.
We protect personal information with:
No system is perfectly secure. If something goes wrong, we’ll act as set out under “If there’s a data breach”.
You can ask us for the personal information we hold about you, and ask us to correct it. You can also correct your own name, email address and phone number on your account page in Quarter.
To ask, email hello@yourquarter.au. We’ll need to confirm who you are. We’ll respond within 20 working days (about four weeks), and it’s free.
If we can’t give you access or make a correction, we’ll tell you why in writing, and how to complain. If we don’t agree that something needs correcting, you can ask us to attach a note to it saying you think it’s wrong, and we will.
Where the information is part of your owners corporation’s records, strata law also lets owners inspect those records by asking the owners corporation. We’ll let the owners corporation know about requests that concern its records, and follow its instructions on changing them.
Ask us, and we’ll close your Quarter account and delete or de-identify the personal information we hold about you for our own purposes, including in the history of changes.
Information that’s part of an owners corporation’s records, such as the roll, minutes and levy history, belongs to the owners corporation, and strata law may require it to keep that information. We’ll pass your request on and act on its decision.
Copies in our backups and our providers’ logs are removed as they age out, on the timetable above.
If personal information we hold is lost, or accessed or disclosed without authorisation, in a way that’s likely to cause someone serious harm, we’ll tell the people affected, the Office of the Australian Information Commissioner (OAIC) and New Zealand’s Privacy Commissioner. We’ll tell the owners corporation concerned within 72 hours of becoming aware of any breach affecting its records.
You can browse our website and look up buildings without telling us who you are. To be part of a scheme’s records, to sign in, or for us to reply to you, we need to know who you are.
If you think we’ve mishandled your personal information, tell us at hello@yourquarter.au. We’ll acknowledge your complaint within five working days and aim to respond in full within 30 days.
If you’re not happy with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992. You can also complain about how Quarter NZ Limited has handled your information to New Zealand’s Office of the Privacy Commissioner at privacy.org.nz.
Our privacy officer handles questions, requests and complaints about personal information. Email hello@yourquarter.au.
We’ll update this policy when our practices change, and publish the new version here.
