A filing cabinet nobody opens is not a record.

Every building has the documents, in a Drive folder, an old manager's system, an email from 2019. Having them and being able to answer a question out of them are different things, and only the second is worth anything on a Tuesday night.

What it does

Read when they arrive
Read on the way in rather than on the way out, so the first question asked of them is answered immediately.
Insurance, checked rather than filed
A policy schedule is read into its actual cover, sums and dates, so a renewal date becomes something the building can be warned about.
Hazards and the maintenance plan
Existing registers and plans can be brought in as they are, rather than retyped as the price of moving.
Connected to where they already live
A Google Drive folder can be synced, and what arrives is sorted rather than dumped.

How it works

  1. Different kinds of document are read by different readers, a policy schedule, a maintenance plan and a hazard register are not the same shape and pretending they are produces confident nonsense.

  2. Governing documents are indexed clause by clause so they can be cited. That is what separates them from the rest of the library.

What it doesn't do

Worth as much as knowing what it does, and otherwise found out at the worst moment.
